Auditfiles are frequently used by tax authorities or accountants. They serve as a valuable tool, especially when your accounting software lacks Excel export capabilities. Within the audit file, you’ll find the complete financial administration.

This tool exports data from the audit file (XAF, ADF) to an Excel file. Simply select the file, and once the macro completes, you’ll have a comprehensive Excel ledger, trial balance, period balance, and post-process matrix. Additionally, in Excel, you can easily search through all transactions using filters

When you open the Excel file, you will see the following. (Please note that you should enable macros and content for the file when prompted by a yellow bar in Excel.)

By pressing the “Import ADF/XAF” button, you can select an audit file. Afterward, Excel immediately starts reading the audit file. All financial audit files can be imported.

You still have the option to enable or disable a few features:

Import Caseware (rounded figures)

If you want to directly import rounded figures into another package like Caseware, select this option. The trial balance will be rounded and included in a separate tab for easy import without additional steps.

Post-Process Matrix

A post-process matrix is included in a separate tab. This matrix specifies the trial balance by journal type, helping you understand how general ledgers are fed and mapping out processes.

Period Table

A period table is included. This allows you to quickly view the figures per month and compare months with each other.

General ADF/XAF Data

An additional sheet is included with all debtors and creditors. Their contact details are also included.

Example

After converting the audit file using this Excel tool, you’ll have the following information. Since the data is in Excel, you can further customize or supplement it as you’re accustomed to in Excel:

General Ledger

Contains all transactions from the audit file. You can easily search through the general ledger using filters. The following details are included:

  • Journal code and name
  • Date and period
  • General ledger number and name
  • Description
  • Document number
  • Debit, credit, and balance
  • VAT code and percentage
  • Debtor/creditor number and name
  • Sequence number
  • Processing code
  • Taxonomy description

Balances

In the “Saldi” tab, the trial balance is included as a pivot table. This means that you can click on the amounts and immediately see the breakdown of each entry.

We recommend always reconciling the trial balance with a printout of the column balance from your financial administration. Some financial packages may not export all general ledger entries (for example, unprocessed transactions in Exact).

DebCred Data

In the “DebCred Data” tab, all data related to debtors and creditors is included. Here, you can easily apply filters once again.

The following information is included:

  • Code and Name
  • Address, City, Postal Code, and Country
  • Phone Number
  • Email
  • Tax Identification Number
  • Website
  • Chamber of Commerce (KvK) Number
  • Bank Account Number

Data General Ledger

In the “Information General Ledger” tab, you’ll find details about the audit file. The following information is included:

  • Audit File Type (XAF 2.0, XAF 3.0, XAF 3.1, XAF 3.2, or ADF)
  • Entrepreneur ID
  • Tax Identification Number
  • Name of the Company
  • Address, City, Postal Code, and Country
  • Fiscal Year
  • Start Date and End Date
  • Currency
  • Date of Audit File Extraction
  • Used Accounting Software and Version
  • Total Debits, Credits, and Number of Transactions (aligned with the general ledger)

Period

In the “Period” tab, the trial balance is included for each period. You can easily compare months with each other. Additionally, you can conveniently click on the amounts to see the breakdown of each entry.

Post-Proces matrix

In the “Posten Processen Matrix” tab, a split saldibalans (trial balance) is included based on journal types. This allows you to easily understand how entries are generated in the administration. Additionally, you can conveniently click on the amounts to see the breakdown of each entry.

Which versions of Excel does the audit file viewer work with?

The audit file viewer has been tested from Excel 2010 onwards. However, there is a good chance that it will also work with older versions. If the tool does not work for you, please contact us. If we can’t get it to work, you will get your money back.

If the tool doesn’t work, check if you allow macros (yellow bar at the top).

The tool doesn’t work in Excel on a Mac, as XML files aren’t supported in this version of Excel (yet).
